Understanding the different sections and colour coding in your Calendar

An example of an active therapist calendar is shown below :

This calendar shows :

  • Working Times in White spread across the week and anchored in the Time Zone shown at the bottom of the screen. The Working Times are the sessions you want to offer to new clients each week.

  • Unavailable Times in Grey are times you have blocked out as unavailable, or 'busy' times that have synched across automatically from your Google calendar

  • Booked Sessions in Dark Purple - if they have a tick this means they are confirmed. If there isn't a tick, you still need to confirm this session in your Dashboard. The client's initials are noted, and clicking on the session will show the client's full name.

  • Offered Sessions in Light Purple represent alternative times that you have offered to clients if you are unavailable for their booked session time. Session offers expire after 24 hours at which point they will disappear from your Calendar - we reserve the times offered during this period to avoid the offered times being booked by other clients. 

  • Reserved Sessions are shown as White with a Purple Border. These are session times reserved for existing clients - they are not yet booked and need to be created as actual bookings if the client will be attending so a payment can be processed.

Clicking on any item in the calendar will open up a window showing the details of the clicked element.

You can also filter the display using the checkboxes on the bottom left to only show specific types of information on the calendar if it is getting too busy. For example, you may want to 'hide' your unavailable times so you can edit the working times underneath. 


You can also use the Bookable Slots view to the left-hand side of the Calendar to review the times that are currently being shown as available to book in your public profile :

Each green block represents a session that is currently being offered to clients in your public profile. 

Clicking on a green block displays the date and start time for each session being offered, and lists the location/s this session is being offered at :


Please note that while you can offer multiple location options for each session (eg. an in-person location, video, phone and chat), you should not offer sessions at 2 in-person locations at the same time. This causes confusion for clients as it's not clear where you would be available at that time and tends to lead to clients not booking an initial session. 

If you notice any slots where you are available at 2 in-person locations at the same time, please go back to the Edit Availability view in your Calendar to edit the locations for that working time so your correct availability can be shown.
