To create phone or online video sessions with existing Harley Therapy Platform clients only, please follow these steps. If you have chosen the service you will use, skip to point 2:
1. Choose the remote working platform you would like to use.
If you are offering online video call sessions, you should always use a service that has encryption turned on - ideally end-to-end encryption between the client's and your device.
Google Duo, Whatsapp and Facetime all offer end-to-end encryption as standard. You should make sure that you can receive calls from contacts who are not in your address book in order to be able to start a session with your client.
The following services - doxy.me, zoom.us and vsee.com - offer end-to-end encryption and explicitly HIPAA compliant services. These services provide you with a unique url that you can send to clients to join you online.
Skype offers encryption but it is not end-to-end unless you have enabled private conversations (currently audio only). However, a Skype session is fully encrypted between your device and the Skype servers, so it is not possible to intercept the connection for eavesdropping purposes.
If you have not held a session online before, test joining a video call from your chosen device and check that your microphone and camera are working adequately.
Click 'add' and choose the service you will use for online sessions (or phone) from the drop down menu. You MUST follow this step before you can offer remote sessions to existing or new clients:
Once you have selected your preferred service, enter the information requested and click 'Save Changes'.
3. You can now create remote sessions with your existing clients.
When you create a new session with a client, use the location drop-down to select your remote option.
Your client will receive the relevant details for the session by email (such as a Skype username, phone number, etc). For services where one party has to make a call, we provide the client with your details and you should be ready to accept a call from them at the time of the session.
4. Advise your existing clients
If this is the first time you are working with your client/s remotely, advise them of the proposed change to their session, ask them if they are able to talk to you remotely before booking the session and advise them of any logistical requirements (such as connecting from a safe, secure and private place). You can find your clients' contact detail pages from your 'clients' tab.
