How do Reserved Slots work?

What is a reserved slot and how to use this feature

Adding a reserved slot for a Client allows you to reserve their session each week to prevent any new or existing clients from being able to book that slot. 

Reserved slots essentially act as weekly repeating unavailable times in the Calendar to help you manage your availability, and avoid needing to cancel or rearrange new client bookings.


Creating Reserved Slots

You can add or edit a reserved slot as part of the attendance update that appears in your Dashboard after each session. 

You can also create or cancel a reserved slot in the Relationships tab in each Client’s page as shown in the GIF below :


Booking Sessions

If a reserved slot is in place, you will need to book a session each week for the client, as reserved slots do not automatically create bookings. If a session is not booked, then a payment will not be processed.

It is easiest to book follow-up sessions as part of the attendance update that appears in your Dashboard after each session, or you can also click on the reserved slot in your Calendar and click the 3 dots at the top of the pop-up to bring up the option to create a session for a specific date :  


Clients will not be able to book their own follow-up session if a reserved slot is in place, as the slot will appear blocked out (similar to if you had added an unavailable time to your Calendar) so you will need to book follow-up sessions for them.


Bi-Weekly, Fortnightly & Monthly Sessions

Currently, you can only add weekly reserved slots, which repeat each week on the same day and time. 

If a client is attending more than 1 session with you each week (or if they are attending on a fortnightly or monthly basis), you can edit your working times to remove or block out their slot instead.

Alternatively, if you connect a Google Calendar to your Harley Therapy Calendar, you can add repeating fortnightly/bi-weekly/monthly ‘busy’ times in the Google Calendar which will sync across and be blocked out as unavailable in your Harley Therapy Calendar. You can use this option even if you don't usually use a Google Calendar to manage your non-Harley Therapy clients and sessions.
